Manage users in shared models in the Management Console

In the Management Console, you can view information about users, modify the roles of users in models, add users to models, remove users from models, and import and export lists of users.

Typically, each model owner manages users and their roles in their own shared models in Tekla Model Sharing. As an administrator, you can also manage users in all of your organization's shared models in the Management Console to control access to your organization's shared models.

  • The user does not need to be an employee in your Tekla Online organization or any other Tekla Online organization to access the shared models that you allow them to access. You can allow any user who has a Trimble Identity and a Tekla Online profile to access shared models that are owned by your organization.

  • Joining your Tekla Online organization as an employee does not automatically give the user access to any shared models.

    To allow the user to access shared models that are owned by your organization, the model owners must add the user to the shared models in Tekla Model Sharing, or you must add the user to the shared models in the Management Console.

  • Removing an employee from your Tekla Online organization automatically removes their access to the shared models that were given access to them while they were in your organization.

  • To prevent external license users outside of your Tekla Online organization from accessing shared models that you have given them access to, you must remove their access in the Management Console.

List the models that a user has access to

You can check which models a user has access to and what the user's role is in each model. You can also view information about when the user last accessed the shared model.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Users to list the users who have access to shared models.
  2. In the Models column, click the link.

    The Models for the user dialog box opens.

  3. To close the dialog box, click Close.

Change the role of a user in a shared model in the Management Console

Typically, model owners manage the roles of users in their shared models in Tekla Model Sharing. As an administrator, you can also change the role of a user in a shared model in the Management Console.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Models to list all of your organization's shared models.
  2. In the Users column for the model, click the icon.

    The Users of the model dialog box opens.

  3. In the Role column for the user, select the role.
    • Owner: the user can perform all modeling and drawing tasks, and can also invite or remove users, change user roles, create a baseline, and exclude models from sharing.

      Several users can have the owner role in the same model.

    • Editor: the user can perform all modeling and drawing tasks.
    • Viewer: the user can view shared models but cannot make any changes.
    • Project viewer: the user can change user defined attributes (UDAs), such as to update the fabrication status, but cannot perform modeling or drawing tasks.
  4. Click Save.
  5. To close the dialog box, click Close.

Add users to a shared model in the Management Console

Typically, model owners invite users to their shared models in Tekla Model Sharing. As an administrator, you can also add users to a shared model in the Management Console.

When you add users to a shared model in the Management Console, the users do not receive an invitation email.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Models to list all of your organization's shared models.
  2. In the Users column for the model, click the icon.

    The Users of the model dialog box opens.

  3. Enter the email address of the user, then click Add User.
  4. In the Role column for the user, select the role.
    • Owner: the user can perform all modeling and drawing tasks, and can also invite or remove users, change user roles, create a baseline, and exclude models from sharing.

      Several users can have the owner role in the same model.

    • Editor: the user can perform all modeling and drawing tasks.
    • Viewer: the user can view shared models but cannot make any changes.
    • Project viewer: the user can change user defined attributes (UDAs), such as to update the fabrication status, but cannot perform modeling or drawing tasks.
  5. Click Save.
  6. To close the dialog box, click Close.

The user can now join the model.

Add a user to multiple shared models in the Management Console

To give a user the same role in multiple models, you can add a user to multiple models at the same time.

For example, if the previous owner of several shared models leaves the company, you can add a user as a new owner for all of that user's shared models.

If a user that you add was already in one or more of the models with a different role, the previous role is overwritten with the role that you select.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Models to list all of your organization's shared models.
  2. Select the check box for one or more models.
  3. Click Set user/role.
  4. In the User email box, enter the email address of the user.
  5. From the role list, select the role for the user.
    • Owner: the user can perform all modeling and drawing tasks, and can also invite or remove users, change user roles, create a baseline, and exclude models from sharing.

      Several users can have the owner role in the same model.

    • Editor: the user can perform all modeling and drawing tasks.
    • Viewer: the user can view shared models but cannot make any changes.
    • Project viewer: the user can change user defined attributes (UDAs), such as to update the fabrication status, but cannot perform modeling or drawing tasks.
  6. Click Set user/role.

    The user is added to the selected models with the selected role.

  7. To close the dialog box, click Close.

If you added a new owner, the previous owner was not removed from the shared models. To remove the previous owner from the shared models, follow the steps in Remove a user from multiple shared models.

Import users into a shared model in the Management Console

Typically, model owners import users to their shared models in Tekla Model Sharing. As an administrator, you can also import users in the Management Console to add the same users into another shared model.

Before you begin, export the users to a CSV file from the Management Console or using Tekla Model Sharing in Tekla Structures.

You can optionally edit the exported file before importing it, such as if you want to remove some users or change the roles of users.

If a user that you import was already in the model with a different role, the previous role is overwritten with the role from the imported CSV file.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Models to list all of your organization's shared models.
  2. In the Users column for the model, click the icon.

    The Users of the model dialog box opens.

  3. Click Import.

    The Import users from CSV dialog box opens.

  4. Drag and drop the CSV file to the dialog box, or click Choose File, then browse to the CSV file.
  5. Click Send.

    The users are imported into the model from the CSV file. To see detailed information about the import, click More details.

    To close the Import users from CSV dialog box, click Close.

  6. Click Save.
  7. To close the Users of the model dialog box, click Close.

Export users from a shared model in the Management Console

Typically, model owners export users from their shared models in Tekla Model Sharing. As an administrator, you can also export users from a shared model in the Management Console.

After you export the users, you can import them into another shared model in the Management Console or using Tekla Model Sharing in Tekla Structures.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Models to list all of your organization's shared models.
  2. In the Users column for the model, click the icon.

    The Users of the model dialog box opens.

  3. Click Export.

    The list of users and their roles is exported as a CSV file. The file is saved in the default download folder for your web browser.

  4. To close the dialog box, click Close.

Remove a user from a shared model

Typically model owners remove users from their shared models in Tekla Model Sharing. As an administrator, you can also remove users from shared models in the Management Console.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Models to list all of your organization's shared models.
  2. In the Users column for the model, click the icon.

    The Users of the model dialog box opens.

  3. In the Role column for the user, select None.
  4. Click Save.
  5. To close the dialog box, click Close.

The user is no longer allowed to access the shared model.

Remove a user from multiple shared models

In the Management Console, you can remove a user from multiple shared models at the same time.

For example, if a user leaves the company, you can remove the user from all shared models that they have access to.

  1. In the navigation pane of the Management Console for Tekla Model Sharing, click Users.
  2. Select the check box for the user, then click Remove Access.

    The Remove user access rights dialog box opens.

  3. Click Remove access.
  4. To close the dialog box, click Close.

The user is no longer allowed to access the selected shared models.
