Document Index

Document Index is a place for storing files to be shared among other users. In Document Index, you can store various kinds of documents for reference, and modify, delete, open, and email these files.

Every module, with the exception of Inventory, have their own Document Index area that allows various kinds of files to be stored within the appropriate module. For example, you may store design drawings in the Estimating document index and order acknowledgement files in the Purchase Order document index.

To function correctly in a multi-user environment, you must first define the default file location for the shared files in the Default Directories. This folder can be accessed by all computers on your network. In a network setup, each user must then set their default directories to point to the same base directory so that they can access the same files. See Default directories.

The Document Index directory must be set on each computer. When a file is added to the document index, it is not saved into the MySQL database. It is copied into a directory under the base directory and the relative path to the file is saved in the database.

You can customize the structure of the Document Index for each module to have the required document categories and sub-categories.

Most modules also have their own Document Index area for storing files specific to a job.

Users with administrator rights need to grant the relevant access rights for other users on the Document Index tab in File > Administration. See Manage user permissions.
